Visiting the website

The web server records each request in an access log: the IP address, the time, the address requested, the referring page and the browser's identification string. The log is used to keep the site working and secure and to compile visitor statistics, and it is kept for two months. The website sets no cookies.

Legal basis: our legitimate interest in running a secure website (GDPR Art. 6(1)(f)).

Contacting us

The contact form sends your name, email address and message to us by email, and nothing is stored on the website. We use the message to answer you and, if you ask for a quote or an order, to prepare it. A message that does not lead to a customer relationship is deleted two years after the last contact.

Legal basis: our legitimate interest in answering messages (Art. 6(1)(f)), or steps you ask for before a contract (Art. 6(1)(b)).

Accounts for our online tools

For an account we store your name, email address and username, and your company and phone number if you give them. A session cookie keeps you logged in. The time, IP address and browser of each login are recorded and deleted after 90 days.

Saved harnesses are visible to other users only if you share them. Soontek's administrator can view them but cannot change them.

The account and its saved data are kept until you ask us to close the account, and deleted within one month of that.

Legal basis: providing the account you asked for (Art. 6(1)(b)).

Customers and orders

For customers we process the contact details of contact persons and the details needed for orders, deliveries and invoices, and for our monitoring services the phone numbers and email addresses that alarms are sent to.

These are kept for the duration of the customer relationship. Accounting records are kept as the Finnish Accounting Act requires: financial statements and ledgers for ten years, vouchers such as invoices for six years.

Legal basis: the contract (Art. 6(1)(b)) and our legal obligation to keep accounts (Art. 6(1)(c)).

Recipients

The data is processed for us by our web hosting and email provider, our server provider, our accounting firm, and our online shop and its payment service. Data is given to authorities only when the law requires it. All processing takes place in the EU, and we make no automated decisions about you.

Your rights

You can ask to see the data we hold about you, to have it corrected or deleted, to restrict its processing, to object to processing based on our legitimate interest, and to receive the data you gave us for an account or a contract in a machine-readable form. Send the request to info@soontek.net.

You do not have to give us personal data, but without an email address we cannot answer a message or set up an account.

You can complain to the Office of the Data Protection Ombudsman (Tietosuojavaltuutetun toimisto), tietosuoja.fi.
